PROJECT 04
From payment received to operations ready.
An integration using Zapier to connect external PayPal payments with Odoo orders, operational handoffs and exception follow-ups.
PayPal
Zapier
Odoo
The challenge.
Payments collected through external PayPal links can require a manual handoff to the matching order and operational team in Odoo.
What we connected.
Zapier routes completed PayPal payments, matches the order reference and checks the amount and currency. The workflow links the transaction to the matching Odoo record and starts the agreed fulfilment or service-delivery action.
Start with a completed payment.
A payment collected outside Odoo checkout supplies the transaction and order reference.
Pending payments stay on holdMatch. Check. Route.
Match the order reference, check amount and currency, and prevent the same transaction from being processed twice.
Business rules guide the next stepMake the handoff actionable.
Link the payment to the matching customer and order, then start the agreed fulfilment or service-delivery action.
Order context stays connectedMissing references, partial payments or mismatched amounts create an Odoo review activity before operations proceed.
A refund updates the linked records and flag any delivery already underway for review.
Completed payment first · Match the order · Prevent duplicates · Keep exceptions visible
How the workflow works
- PayPal confirms an external payment. The starting point is a completed payment collected outside Odoo checkout, with a transaction identifier and an order reference. Pending payments remain on hold.
- Zapier checks the handoff. The automation matches the order reference, checks the amount and currency against the order, and identifies transactions already processed.
- Odoo receives the linked transaction. A matching payment is linked to the customer and order. The workflow then starts the agreed fulfilment or service-delivery action.
- Exceptions reach an owner. Missing references, partial payments and mismatched amounts create a review activity in Odoo before the operational action proceeds.
- Refunds prompt follow-up. A refund event updates the linked records and flags any delivery already underway for review.
The role of each system
| System | Responsibility |
|---|---|
| PayPal | Completed payment and refund events, transaction references, amounts and currencies. |
| Zapier | Automation routing, record matching, validation and duplicate prevention. |
| Odoo | Customer and order records, operational handoffs and exception-review activities. |
Zapier coordinates the automation between PayPal payment records and Odoo operational records.
Implementation approach
Use completed payment as the trigger. Payment initiation or approval alone does not release an order to operations. Pending or unsuccessful payments follow their own review path.
Link the order and transaction explicitly. The order reference identifies the Odoo record, while the PayPal transaction identifier prevents a repeated event from starting the same action twice.
Validate before progressing. Amount and currency checks guard the handoff. Partial payments follow agreed business rules rather than automatically marking the full order as paid.
Handle refunds in the context of delivery. A refund creates the appropriate follow-up; work already underway is reviewed rather than silently reversed.
This integration focuses on PayPal payments collected outside Odoo checkout, linking those transactions to the operational records in Odoo.
Workflow results
- Operations receives payment context linked to the correct order.
- Completed payments start the agreed handoff without a manual transfer of details.
- Exceptions and refunds remain visible to the people responsible for resolving them.
What changed.
Operations receives payment context linked to the order. Duplicate processing is prevented, while unmatched payments, partial payments and refund events reach an owner for review.
